Privacy policy

This is the privacy policy for The Sydney City Telephone Company Pty Ltd, ABN 31 053 992 528, trading as Cititel Telephone Systems, of 170 Pacific Highway, North Sydney NSW.

We are bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

When you contact us or ask for a quote. Your name, business name, email address, phone number, and whatever you tell us about your site and your current phone setup.

When you send us a phone bill. Whatever is on it. That usually includes your service address, your account number, your phone numbers, and a record of calls you have made.

When you visit this website. Pages viewed, roughly where in the world the visit came from, and the type of device. We use Umami, which we run ourselves on a server in Australia. It does not set advertising cookies, it does not follow you to other websites, and it does not build a profile of you.

When you become a customer. What we need to run and support your phone system, plus billing details.

What we do with it

We use it to answer you, to quote, to install and support your system, and to invoice you. Nothing else is collected. We do not sell it, we do not rent it, and we do not send marketing to people who have not asked for it.

Who else sees it

Our phone platform and carriage services are supplied through Australian distributors and carriers, and running your service means they hold the information needed to carry your calls. Where we install equipment we may pass your site details to the manufacturer for warranty. We disclose information to anyone else only when the law requires it, or when you ask us to.

We do not sell personal information to anyone, in any circumstances.

Phone bills, specifically

A phone bill has more in it than most people think, so we treat it differently to the rest of a form.

  • It is stored outside the public website, so it has no web address anyone could find or guess.
  • It is renamed to a random string, so the file name gives nothing away.
  • It is never attached to an email or forwarded.
  • Only staff who are logged in to our system can open it.
  • We delete it when the quote is won or lost, and in any case within 90 days.

You can ask us to delete it sooner and we will, that day.

How long we keep everything else

Enquiries that do not become work are deleted after a year. Customer records are kept while you are a customer and for seven years after, which is what tax and business records law requires of us.

Keeping it safe

The site runs over an encrypted connection, on Australian hosting, backed up daily to a second Australian location. Access to customer information is limited to the people who work here.

If something does go wrong and your information is involved, we will tell you, and we will notify the Office of the Australian Information Commissioner where the law requires it.

Seeing it, correcting it, or complaining

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email privacy@cititel.com.au or ring (02) 93 100 100 and we will deal with it within 30 days.

If you are not happy with how we handle it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Cookies

This site sets a cookie only if you log in to it, which customers do not need to do. Our analytics does not use cookies.

Changes

If we change this policy we will change the date below. This version is current as at the date shown.
